1. Public Demonstration and Inquiry Data

When you interact with the public Proficera website, submit a pilot inquiry, or utilize the "Live Audio" or "Simulate Sample" demonstration features, we collect the information you voluntarily provide (e.g., name, email, facility, target behaviors). Audio submitted through the public demonstration portal is routed securely for transcription and is explicitly not used to train global AI models.

2. Ephemeral Audio Processing (Platform Usage)

Proficera operates on a Zero-PHI / Zero-PII architectural intent for raw input. When a supervisor records an observation via the Proficera B2B platform, the audio file is transmitted securely via an encrypted API connection strictly for speech-to-text transcription. The raw audio file is ephemerally processed and permanently destroyed immediately following transcription. It is not stored in our database, nor is it retained by our transcription sub-processors.

3. Automated Redaction & Structured Records

Following transcription, identifying entities (such as patient names in healthcare environments) are algorithmically redacted before the system generates the structured coaching record. The resulting structured text (the assigned practice, behavioral target, and follow-up date) is securely stored in a segregated, encrypted database.

4. Verified Access & Data Retention

Structured coaching plans and reassessment schedules are strictly gated. They are accessible only to the specifically assigned supervisor, the organizational administrator, and the individual learner via role-based access controls (RBAC). Organizations retain full ownership of their structured coaching data and may initiate data export or complete deletion protocols at the conclusion of a pilot or contract term.
